Submitting Invoices With a Purchase Order

Hours of operation are 7:30 a.m. to 7:30 p.m., Monday through Friday. Be sure to include:

  • Invoice number
  • Invoice amount
  • Purchase order number, if applicable

Our Accounts Payable department is here to serve you, our suppliers and our goal is to process invoices accurately and timely, usually within three days.

At Nationwide®, we require Taxpayer Identification Number (TIN) information on all of our suppliers. This information is normally submitted to us on a W-9 form. The Taxpayer Identification Number (TIN) may be your Federal Employee Identification Number (FEIN) or, if you don't have a FEIN, your Social Security number (SSN). Because we can't process a payment without this information, all first-time invoices submitted to Nationwide should include a W-9 form.

The most common and preferred process for establishing a supplier relationship with Nationwide is through a Purchase Order (PO). Once a purchase order is created, invoicing against that purchase order may begin. To prevent processing delays with your payment it's extremely important the correct process is followed. To ensure your payment is processed efficiently:

  • Your invoice must match the purchase order you received including line numbers, quantities, descriptions, unit prices and dollar amounts
  • The Nationwide purchase order number must be printed on your invoice
  • Your invoice should contain a unique, identifying invoice number
  • For goods, actual receipt of the product must occur before payment can be made
  • Your purchase order related invoices should be mailed, along with our W-9 form if applicable, to:

We cut checks daily, to help ensure prompt payments. If you'd prefer payments via ACH/EFT, complete the Vendor Payment Authorization form and submit using the instructions on the form.
